Travel Required: Up to 10% of the time
Description of Duties:
The Facilities Project Assistant supports the Missile Defense Agency (MDA) on the Integrated Research and Development for Enterprise Solutions (IRES) contract.
The candidate will:
- Will assume various roles and responsibilities within the organization to include leading a team of escorts for projects, invoice and budget tracking, and personnel and vehicle passes.
- Personnel and vehicle pass paperwork process documentation to ensure subcontractors have access to SSFB and MDIOC (8004/8600)
- Draft, coordinate and publish project escort schedule (8004/8600)
- Create iWADs within the IRES online system
- Coordinate iWAD audits with project managers/CAMs in order to fix errors as necessary
- Maintain budget trackers for projects
- Provide invoice tracking
- Provide additional administrative support to fiscal team such as charge number creation as required
- Other duties as assigned may include demonstrative assistance in TOSR production, CDRL production

- Validate vendor change participation, runbooks, notifications, and contribution to incidents/RCAs.
- Reporting & Communications
- Run MBRs/QBRs with stakeholders; publish dashboards and executive summaries with trend analysis and actions.
- People Leadership & Knowledge Management

- Maintain runbooks, playbooks, KEDB, service standards, and knowledge articles; drive cross training and succession depth.
The successful candidate will:
- Have a strong ability to organize work, manage multiple tasks, and maintain accurate records.
- Have excellent verbal and written communication skills for effective interaction with internal and external stakeholders.
- Have a keen eye for detail to ensure accuracy in documentation and reporting.
- Be able to work proactively, anticipate needs, and think ahead to support project success.
- Be able to work effectively within a project team.
Minimum Qualifications:
- Must be a US citizen
- Must have an active DoD Secret Security Clearance
- Must have 1, or more, years of administrative experience that includes scheduling coordination, budget/ invoice tracking, and/ or documentation processing
- Must be proficient with MS Office and other tools used in project management
Salary Range: $70,000 $90,000 annually. Final compensation is based on experience, education, and directly relevant certifications.
